We are currently seeking a highly motivated individual to join our client as an Operations Assistant. This position involves a variety of tasks to ensure the smooth functioning of our operations department. If you possess strong organisational skills, attention to detail, and proficiency in Microsoft Excel, we invite you to apply.
Location: Liverpool
Salary: 24-25K per annum
Schedule: on-site, Monday - Friday
Responsibilities:
* Answering phone calls and addressing customer inquiries, referring them to the appropriate personnel.
* Creating and updating Excel sheets with details, estimated delivery times, and financial information for each job (master sheets, control sheets).
* Database management of vehicles and job creation using accelerator software package.
* Invoicing customers and ensuring accuracy in financial records.
* Auditing customer and supplier accounts, reconciling with bank forecasts and internal records.
* Ordering and booking in goods, processing supplier invoices, and resolving invoicing discrepancies.
* Managing bookings, jobs, and invoicing processes.
* Requesting order numbers from customers and creating quotes based on vehicle specifications.
* Assisting with the preparation of tenders.
* Providing general support to all departments as needed.
Essential Skills:
* Proficiency in Microsoft Excel is a must.
* Strong attention to detail to ensure accuracy in data management.
* Exceptional organisational skills to manage multiple tasks efficiently.
* Effective time management to meet deadlines and prioritise tasks.
* Adaptability to handle various responsibilities and challenges.
* Previous experience in working with automotive database software is preferred
